Your business contact details on SolarScout
SolarScout SRL — Version 1.0 — November 2026
You are probably reading this because a company that installs solar panels or batteries contacted you, and its message mentioned SolarScout. This page explains why that company had your details, where they came from, and how to stop it.
You can object at any time. Click "Unsubscribe" in any email sent through SolarScout, tell the installer who calls or writes to you, or write to privacy@solarscout.be with the email address or phone number concerned. From then on, no SolarScout user can see your details or contact you through SolarScout, by email, phone or letter. We also pass your objection on to every installer that received your details through SolarScout; our terms require them to respect it.
Who we are
SolarScout SRL, Rue des Échevins 28, 1050 Ixelles, Belgium, company number 1034.560.230. SolarScout is a platform that helps solar and battery installers find businesses whose roofs suit solar panels or energy storage. Contact for anything on this page: privacy@solarscout.be.
What we hold about you
Only details linked to your professional role: your name, job title, the company you work for, your business email address and business phone number, where we found them and when.
We hold no private addresses and no details about your private life. We only keep contacts whose role bears on energy or investment decisions, such as owners, managing directors, and finance, facility, operations, energy and sustainability managers, and at most five people per company. Where our source gives no job title for anyone at a company, we keep at most two addresses, usually the owner's.
Where your details come from
- Hunter.io (Hunter Web Services, Inc.), which finds business email addresses on public web pages such as company websites, press releases and professional directories. Some addresses are not published anywhere: they are derived from the email format your company uses (for example
firstname.lastname@company.be) and checked to be deliverable. - The National Bank of Belgium: the annual accounts that companies file with its Central Balance Sheet Office list their directors' names.
We record for each person which of these sources the details came from and when. Ask us and we will tell you.
Information about your company and its building is about the company, not about you.
Why we hold your details, and on what basis
We hold your details so that installers using SolarScout can propose solar, battery or energy-management projects to your company.
The legal basis is legitimate interest (GDPR art. 6(1)(f)): ours in running this service, and the installers' in offering energy solutions to businesses. We weighed these interests against yours and concluded that yours do not override them, because:
- we hold only business details tied to your role, never private ones;
- we keep only people whose role concerns energy or investment decisions;
- installers may use your details only for business offers relevant to your role, and may not resell or share them;
- every first contact names SolarScout as the source and links to this page;
- one objection stops every SolarScout user.
You can ask for a copy of our assessment at privacy@solarscout.be.
Who receives your details
- Installers using SolarScout that select your company. Each installer is responsible for its own use of your details and for the messages it sends. Installers pay SolarScout for the platform, including the contact details they view.
- Our service providers, such as hosting and email providers, who process the data only on our instructions. They are listed in our privacy policy.
Your details are stored in the EU: our servers in Frankfurt, our database in Paris and our encrypted backups in Stockholm. Some of our providers are based in the United States. Transfers to them rely on the EU–US Data Privacy Framework or on standard contractual clauses approved by the European Commission.
How long we keep your details
- From 18 December 2026 we automatically delete:
- details never shown to an installer: after 90 days;
- details shown to an installer: 24 months after an installer last used them.
- If you object or ask for erasure: we delete your details, but keep a coded (hashed) version of your email address, phone number and name so we can keep blocking you, including if a source sends us your details again.
- Our encrypted backups are deleted on a fixed schedule: daily backups after 35 days, monthly backups after 13 months. Deleted details disappear from them at the same pace.
Your rights
You can ask us at any time to:
- tell you what we hold about you, where it came from and which installers received it;
- correct details that are wrong;
- delete your details;
- restrict their use while a question is being looked into;
- stop using them (objection), as described at the top of this page.
Write to privacy@solarscout.be. We answer within one month. We may ask you to confirm your request from the address concerned, so that nobody can act in your name.
We make no automated decisions about you with legal or similarly significant effects.
If an installer contacted you
The installer decides whom it contacts and what it says, and answers for its message. If you object, or think the installer misused your details, tell us as well: we block your details for all users within two working days and take the matter up with the installer under our terms.
Complaints
If you are not satisfied with our answer, you can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be. You can also complain to the authority in the EU country where you live or work.
