1. Verwerkingsverantwoordelijke

2. Toepassingsgebied
Dit beleid is van toepassing op alle gebruikers van het SolarScout-platform die toegang hebben tot onze B2B-diensten voor leadgeneratie, en op bezoekers van onze website, onder meer wie via een formulier een gids aanvraagt.
3. Verzamelde gegevens
3.1 Identificatie- en contactgegevens
Naam, voornaam, professioneel e-mailadres, professioneel telefoonnummer, functietitel en bedrijfsnaam.
3.2 Bedrijfsgegevens
KBO-nummer, btw-nummer, rechtsvorm, adres van de maatschappelijke zetel.
3.3 Gebruiks- en gedragsgegevens
IP-adres, browsertype, besturingssysteem, bezochte pagina's, gebruikte functies, tijdstempel van sessies, technische en analytische cookies (zie sectie 8).
3.4 Betalingsgegevens
Facturatiegegevens (naam, facturatieadres, btw-nummer), transactiegeschiedenis en abonnementsstatus. Bankkaartgegevens worden uitsluitend verwerkt door onze betalingsdienstverlener (Mollie) en worden niet opgeslagen op onze servers.
3.5 Aanvraag van een gids
Wanneer u op onze website een gratis gids aanvraagt: uw e-mailadres en telefoonnummer, en uw voornaam en bedrijfsnaam als u die invult; welke gids u aanvroeg; de campagnegegevens in de link waarmee u op de pagina kwam (UTM-parameters en de klik-ID van Meta); het tijdstip van uw aanvraag; de tekst over het gebruik van uw gegevens die u op dat moment bij het formulier zag; en of u het vakje voor onze nieuwsbrief aanvinkte.

Wanneer wij ons beroepen op gerechtvaardigd belang, hebben wij een afweging gemaakt en zijn wij van oordeel dat dit belang niet zwaarder weegt dan uw grondrechten en -vrijheden. U kunt hiertegen te allen tijde bezwaar maken (zie sectie 7).

7. Uw rechten
Op grond van de AVG heeft u de volgende rechten:
- Recht op inzage (Art. 15): een kopie opvragen van de gegevens die wij over u bewaren
- Recht op rectificatie (Art. 16): onjuiste of onvolledige gegevens laten corrigeren
- Recht op verwijdering (Art. 17): verwijdering van uw gegevens verzoeken, behoudens wettelijke bewaarverplichtingen
- Recht op beperking (Art. 18): bepaalde verwerkingen laten beperken
- Recht op overdraagbaarheid (Art. 20): uw gegevens ontvangen in een gestructureerd, machineleesbaar formaat
- Recht van bezwaar (Art. 21): bezwaar maken tegen verwerkingen op basis van gerechtvaardigd belang
- Recht op intrekking van toestemming: uw toestemming te allen tijde intrekken zonder terugwerkende kracht

Zonder uw toestemming plaatsen Google, Hotjar en Meta geen cookies, en wordt de Meta-pixel niet geladen. De Google-tag laadt wel op elke pagina in "consent mode": tot u aanvaardt, stuurt hij enkel cookieloze, geanonimiseerde signalen zonder opslag op uw toestel. De video op onze homepage laadt niets van YouTube tot u zelf op afspelen klikt.
Los daarvan tellen we hoe vaak de cookiebanner wordt getoond en welke keuze bezoekers maken. Die teller plaatst geen cookie en bewaart enkel totalen per dag: geen IP-adres en niets anders dat naar u verwijst.
U kunt uw keuze op elk moment wijzigen of intrekken via de link Cookie-instellingen onderaan elke pagina, of via uw browserinstellingen.
9. Beveiliging
Wij treffen passende technische en organisatorische maatregelen: versleuteling van gegevens tijdens overdracht (TLS), toegangscontroles, activiteitenregistratie en detectie van bedreigingen. Verwerkingen zijn beperkt tot de Europese Unie, behalve de doorgiften door de aanbieders in sectie 5 die daar een locatie buiten de EU vermelden.
10. Wijzigingen
Bij substantiële wijzigingen informeren wij u via e-mail of via het platform. De datum van de laatste update staat bovenaan dit document.
11. Gekoppelde mailbox (Gmail of Microsoft 365 / Outlook)
Wanneer u uw Gmail- of Microsoft-mailbox aan SolarScout koppelt om prospectiecampagnes te versturen, geldt het volgende.
11.1 Waartoe wij toegang vragen
- Uw e-mailadres, eenmalig gelezen bij het koppelen, om de gekoppelde mailbox te identificeren en als afzenderadres te gebruiken.
- Toestemming om e-mails te versturen vanuit uw account: de campagneberichten die u zelf schreef, worden via de Gmail API of Microsoft Graph vanuit uw eigen account verzonden, zodat ze in uw map Verzonden verschijnen.
- Toestemming om e-mails te lezen: uitsluitend gebruikt om de gesprekken die SolarScout zelf startte, op basis van hun identificatienummer, te controleren op een antwoord van de prospect. Wij bewaren de tekst en de afzender van dat antwoord om het u te tonen en om verdere opvolgmails te stoppen. Wij doorzoeken of lezen nooit andere berichten in uw mailbox en lezen geen contacten, agenda's of bijlagen.
11.2 Wat wij bewaren
- OAuth-toegangs- en vernieuwingstokens, versleuteld opgeslagen (AES-256-GCM) op onze servers in de EU.
- Identificatienummers van de berichten en gesprekken die wij verzonden, afleveringsgebeurtenissen (verzonden, geopend, geklikt, uitgeschreven, gebounced) en antwoorden van prospecten op die gesprekken.
11.3 Wat wij niet doen
- Wij gebruiken gegevens uit uw mailbox niet voor advertenties, verkopen ze niet en geven ze niet door aan derden, behalve aan de mailprovider zelf wanneer wij in uw opdracht een bericht versturen.
- Geen enkele medewerker van SolarScout leest mailboxgegevens, behalve met uw uitdrukkelijke toestemming voor ondersteuning, voor een beveiligingsonderzoek of wanneer de wet dit vereist. Wij gebruiken deze gegevens niet om machine-learning- of AI-modellen te trainen.
11.4 Bewaartermijn en intrekking
- Tokens worden verwijderd zodra u de mailbox ontkoppelt via Instellingen → Mailbox of uw account verwijdert; ontkoppelen trekt ook onze toegang bij de provider in. U kunt onze toegang op elk moment intrekken in uw Google-account (myaccount.google.com/permissions) of Microsoft-account (account.live.com/consent/Manage).
- Afleveringsgebeurtenissen en antwoorden worden bewaard zolang uw account bestaat en worden samen met het account verwijderd.
11.5 Google API Services User Data Policy
Het gebruik door SolarScout van informatie ontvangen via Google API's, en de overdracht ervan aan enige andere toepassing, voldoet aan het Google API Services User Data Policy, met inbegrip van de Limited Use-vereisten. 2. Scope
This policy applies to all users of the SolarScout platform who access our B2B lead generation services, and to visitors of our website, including anyone who requests a guide through a form.
3. Data We Collect
3.1 Identification and contact data
Name, first name, professional email address, professional phone number, job title and company name.
3.2 Company data
KBO number, VAT number, legal form, registered office address.
3.3 Usage and behavioural data
IP address, browser type, operating system, pages visited, features used, session timestamps, technical and analytical cookies (see section 8).
3.4 Payment data
Billing details (name, billing address, VAT number), transaction history and subscription status. Card data is processed exclusively by our payment provider (Mollie) and is not stored on our servers.
3.5 Guide requests
When you request a free guide on our website: your email address and phone number, and your first name and company name if you fill them in; which guide you requested; the campaign data in the link that brought you to the page (UTM parameters and Meta's click ID); the time of your request; the text about the use of your data that you saw next to the form at that moment; and whether you ticked the box for our newsletter.

Without your consent, Google, Hotjar and Meta set no cookies, and the Meta Pixel is not loaded. The Google tag does load on every page in "consent mode": until you accept, it only sends cookieless, anonymised signals with no storage on your device. The video on our homepage loads nothing from YouTube until you click play yourself.
Separately, we count how often the cookie banner is shown and which choice visitors make. That counter sets no cookie and stores daily totals only: no IP address and nothing else that points back to you.
You can change or withdraw your choice at any time via the Cookie settings link at the bottom of every page, or via your browser settings.
9. Security
We implement appropriate technical and organisational measures: encryption in transit (TLS), access controls, activity logging, and threat detection. Processing is restricted to the European Union, except for transfers by the providers in section 5 that list a location outside the EU there.
10. Changes
In case of material changes, we will notify you by email or via the platform. The date of the last update appears at the top of this document.
11. Connected mailbox (Gmail or Microsoft 365 / Outlook)
If you connect your Gmail or Microsoft mailbox to SolarScout to send prospecting campaigns, the following applies.
11.1 What we access
- Your email address, read once at connection time, to identify the connected mailbox and to use it as the sender address.
- Permission to send email from your account: the campaign messages you wrote are sent through the Gmail API or Microsoft Graph from your own account, so they appear in your Sent folder.
- Permission to read email: used only to check the conversations SolarScout itself started, by their identifier, for a reply from the prospect. We store that reply's text and sender to show it to you and to stop further follow-ups. We never list, search or read other messages in your mailbox, and we do not read contacts, calendars or attachments.
11.2 What we store
- OAuth access and refresh tokens, encrypted at rest (AES-256-GCM) on our servers in the EU.
- Identifiers of the messages and conversations we sent, delivery events (sent, opened, clicked, unsubscribed, bounced), and prospect replies to those conversations.
11.3 What we do not do
- We do not use data obtained from your mailbox for advertising, do not sell it, and do not transfer it to third parties, except to the mail provider itself when sending a message on your instruction.
- No SolarScout staff member reads mailbox data, except with your explicit permission for support, for a security investigation, or where required by law. We do not use this data to train machine-learning or AI models.
11.4 Retention and revocation
- Tokens are deleted when you disconnect the mailbox under Settings → Mailbox or delete your account; disconnecting also revokes our access with the provider. You can revoke our access at any time in your Google Account (myaccount.google.com/permissions) or Microsoft account (account.live.com/consent/Manage).
- Delivery events and replies are kept for the lifetime of your account and deleted with it.
11.5 Google API Services User Data Policy
SolarScout's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
